Privacy Policy
Last updated: September 2026
Rosebuds Sisters ("Rosebuds", "we", "us" or "our") is committed to protecting your personal information and respecting your privacy. This Privacy Policy explains what personal information we may collect, why we collect it, how we use and protect it, who we may share it with, and the rights you have in relation to your information.
Who We Are
Rosebuds Sisters is a UK-based not-for-profit Muslim women's community organisation, with communities and chapters across the United Kingdom and internationally. For the purposes of UK data protection law, Rosebuds Sisters is responsible for personal information collected through our website and our central activities. If you have any questions about this Privacy Policy or how we use your information, please contact us at hello@rosebudssisters.org.
Information We May Collect
Depending on how you interact with Rosebuds Sisters, we may collect: your name and contact details, such as your email address and telephone number; information you provide when subscribing to our mailing list; information submitted when contacting us through our website or forms; information provided when joining a Rosebuds chapter, volunteering, applying for a leadership role or participating in a programme; information required when registering or purchasing tickets for Rosebuds events; payment and transaction information processed through our chosen payment or ticketing providers; information you voluntarily provide in connection with an event, programme or service; and technical information relating to your use of our website, such as IP address, device information, browser type and cookie information. Rosebuds Sisters does not directly store your full debit or credit card details where payments are processed by third-party payment providers. Where we need to collect particularly sensitive personal information, such as information relating to health or accessibility requirements, we will only collect what is reasonably necessary and process it in accordance with applicable data protection law.
How We Use Your Information
We may use your personal information to: respond to enquiries and communicate with you; provide services, programmes and activities you have requested; manage event registrations and bookings; communicate important information relating to events or programmes you have joined; manage Rosebuds leaders, volunteers, members and community activities; send newsletters, announcements and marketing communications where you have chosen to receive them; manage our mailing list and subscriber community; administer and improve our website; maintain appropriate financial, administrative and governance records; protect the security and integrity of Rosebuds services and systems; and meet our legal and regulatory obligations. We will never sell your personal information.
Our Legal Basis for Using Your Information
Depending on the circumstances, we may process your information because: you have given us consent — for example, when you choose to subscribe to our marketing emails; it is necessary to provide a service or fulfil an agreement with you — for example, where you register for or purchase a ticket for an event; it is in our legitimate interests — for example, to administer Rosebuds activities, respond to enquiries, communicate appropriately with our community, maintain our services, safeguard our organisation and improve the way we operate; or we have a legal obligation — where we are required to retain or disclose certain information by law. Where we rely on consent, you may withdraw your consent at any time.
Email Marketing
If you subscribe to the Rosebuds Sisters mailing list, we may send you emails containing news, upcoming events, programmes, opportunities and updates about Rosebuds Sisters. We will only send marketing communications where we have an appropriate legal basis to do so. You can unsubscribe at any time by using the unsubscribe link contained within our marketing emails or by contacting us at hello@rosebudssisters.org. Unsubscribing from marketing emails will not prevent us from contacting you where necessary in relation to something you have specifically registered for, purchased or requested.
Sharing Your Information
We may use trusted service providers to help us operate Rosebuds Sisters and deliver our services. These may include providers of website hosting and management, email and mailing-list services, payment processing, event registration and ticketing, online forms, cloud storage, communications, analytics, and other administrative or technology services. These providers may process personal information on our behalf and are expected to handle it securely and only for appropriate purposes. We may also share information where required by law, to protect our legal rights, or where necessary to protect individuals from harm.
International Chapters and International Data Transfers
Rosebuds Sisters is based in the United Kingdom but has communities and chapters internationally. In some circumstances, personal information may be accessed, processed or shared outside the United Kingdom, including through international service providers or where necessary to support an international Rosebuds activity. Where UK data protection rules relating to international transfers apply, we will take appropriate steps to ensure that personal information continues to receive an appropriate level of protection. This may include relying on UK adequacy regulations, approved contractual safeguards or another lawful transfer mechanism where appropriate. We aim to limit access to personal information to those who genuinely need it for an authorised Rosebuds purpose.
Data Retention
We only keep personal information for as long as reasonably necessary for the purpose for which it was collected and to meet any legal, accounting, safeguarding or regulatory requirements. For example: mailing-list information may generally be retained until you unsubscribe or ask us to remove your information; information relating to enquiries may be deleted when it is no longer reasonably required; event and transaction information may need to be retained for financial, accounting or legal purposes; and leadership, volunteer or governance records may be retained for an appropriate period according to their purpose. Where information is no longer required, we will take reasonable steps to delete, anonymise or securely dispose of it.
Your Data Protection Rights
Depending on the circumstances, UK data protection law may give you rights including the right to: ask what personal information we hold about you; request a copy of your personal information; ask us to delete your personal information in certain circumstances; ask us to restrict the way we use your information; object to certain types of processing; withdraw your consent where processing is based on consent; and request transfer of certain information where applicable. If you wish to exercise any of these rights, contact hello@rosebudssisters.org. We will normally respond to valid requests within one month, subject to any circumstances in which the law allows additional time. You also have the right to raise a concern with the UK Information Commissioner's Office (ICO).
Cookies
Our website may use cookies and similar technologies. Some cookies are strictly necessary for our website to function correctly and do not require your consent. We may also use optional cookies, such as analytics cookies, to help us understand how visitors use our website and improve their experience. Where consent is required, optional cookies will only be used after you have been given an appropriate opportunity to accept them. You can change your cookie preferences where our website provides this functionality and may also manage cookies through your browser settings.
Security
We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access to personal information should only be provided to Rosebuds leaders, volunteers, staff or service providers where it is reasonably required for their role or purpose.
Children's Information
Some Rosebuds activities may involve children or families. Where we need to collect personal information relating to a child, we will seek to collect only information that is reasonably necessary for the relevant activity and will apply appropriate safeguards. Where appropriate, information will be obtained from or with the involvement of a parent or guardian.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our activities, services, technology or legal requirements. The latest version will be published on our website with the date it was last updated.
